Registration
Online registrations are open until 2 August 2024 (or until fully booked). The 40 places available will be filled on a first-come, first-served basis. Please note that only 4 registrations per organisation will be accepted in the initial registration round. If this rule results in less than 40 participants, the open spots will be filled on an first-come, first-served basis respecting proportionality.
Should the minimum number of participants not be reached (25), participants will either be reimbursed or offered an opportunity to participate in another edition or programme.
Fees
Registration fees depend on the participant's status (student - must provide a copy of a valid student ID/professional) and on the organisation's status (member/non-member of Euroheat & Power ǀ DHC+).
DHC+ c/o Euroheat & Power will perform a check of all student IDs submitted upon registration. Should an ID be invalid at the time of the Summer School, the participant's category will be adjusted to reflect the accurate pricing and category. No refunds will be provided to participants who register in an incorrect category or fail to provide a valid student ID. Likewise, withdrawn registrations resulting from an incorrect application will not be refunded.
The participation fee covers the tuition, site visits, educational materials, lunches, coffee breaks, transportation to sites and networking dinners mentioned in the programme. Travel costs and other related expenses are neither included nor reimbursable. All fees are in Euros.
VAT
All registration fees will not include any VAT pursuant to the VAT exemption aimed in article 132, 1. (i) of directive 2006/112/CE.
Confirmation
Upon completion of the online registration, participants will receive a confirmation email with key details of the event. The confirmation is sent to the e-mail address provided on the registration form.
Participants are advised not to proceed with any travel or accommodation arrangements until payment has been received and their attendance be confirmed.
Invoice
Participants can request to receive a digital (PDF) version of the invoice upon receipt of the amount due.
The online registration and payment must be completed prior to contacting the organiser for an invoice. The invoice will use the billing details provided on the registration form. Participants must ensure the information provided is correct (company name, address and VAT number if applicable).
Payment
Payment must accompany the registration.
All prices indicated are in Euros and all payments must be made in Euros. No other currencies will be accepted.
Payment should preferably be made online by card (MasterCard, Visa, Maestro, Amex, PayPal and Discover) during the online registration procedure.
Payment by card
The online registration platform is a secure site. Please enter all relevant information on the registration form. It is also mandatory that the card holder's name is clearly mentioned if it differs from the participant's name.
Bank transfer payment
To pay for your ticket by invoice, please send an email to db@euroheat.org specifying the type of ticket you require and your billing details (VAT, address and name). The invoice is due 15 days after receipt. You'll receive a discount code to register once we have received your payment.

Bank fees are the sole responsibility of the participant and may have to be paid in addition to the registration fees. Transfers must clearly state the name of the event and name of the participant.
Bank transfers which are not clearly referenced cannot be processed. If payment is made for more than one person or by a company, the names of each participant must be clearly indicated.
Cancellation & refund policy
Cancellations must be communicated to DHC+ c/o Euroheat & Power by e-mail to dhcplus@euroheat.org with accounts@euroheat.org in cc. will be fully refunded before 21 June 2024. After that date, no refunds or exceptions will be made. Please note that all refunds will be processed after the event.
After 21 June 2024, the person unable to participate in the event can choose to offer this place to another colleague from the same organisation willing to take part. All changes must be communicated to dhcplus@euroheat.org with accounts@euroheat.org in cc.
Invitation letter for visa application
Attendees must have registered and paid the required registration fees before requesting an official letter of invitation. All requests should be sent by e-mail to dhcplus@euroheat.org.
Please note that the organisers cannot contact or intervene with any Embassy or Consulate office on behalf of participants.
Insurance
The registration does not include insurance. DHC+ c/o Euroheat & Power and the hosting entities cannot accept any responsibility or liability for injuries or losses sustained as a result of any cancellations, accidents, illness or other occurrences that may arise in connection with the Summer School or its technical visits and evening events.
Participants are advised to organise appropriate travel and health insurance themselves.
Data protection
The personal information provided by participants will be held in a database managed by DHC+ c/o Euroheat & Power. The organisers may occasionally use these details strictly in connection to DHC+/Euroheat & Power events. To opt out from receiving such information participants can unsubscribe from the list (check at the bottom of the email and click on "Unsubscribe from this list" or "Manage my subscriptions").
DHC+ c/o Euroheat & Power reserves the right to use pictures and videos (or screenshots and screen recordings in case of an online edition) of the participants and speakers taken during the Summer School for its own marketing purposes unless disagreement with this policy is expressed by the concerned participant.
Participants who do not wish their image/voice to be recorded and published for legitimate reasons, must contact dhcplus@euroheat.org. The organiser will accommodate the participant's needs whenever possible.
Disclaimer
The organiser - DHC+ c/o Euroheat & Power and the hosting entity – Energieinstitut an der Johannes Kepler Universität Linz cannot be held responsible for any loss, injury or damage to property, whatever the cause may be. Liability of persons and enterprises providing means of transportation or other services, however, remains unaffected.
Should the venue or lecturers change or the event be cancelled, for reasons outside the organisers' control (including but not limited to acts of terrorism, extreme weather conditions and/or industrial action), the organiser will endeavour to re-schedule, but shall not be held responsible for any costs, damages or expenses incurred by the registrants.
Should the organiser decide to make material changes to this event, the organiser is not responsible for airfares, hotels or other costs incurred by registrants.
Participants take part in the Summer School, site visits and evening activities at their own risk. Furthermore, the organiser cannot be held liable for any costs or damages incurred resulting from acts outside of its control including but not limited to force majeure, strikes and/or public demonstrations. Only written arrangements are binding.
Registration of a participant entails acceptance of these conditions.
Should disputes arise from the execution or interpretation of the present Terms and Conditions, both parties will be subject to Belgian law. The commercial courts of Brussels will be competent, without prejudice to DHC+ c/o Euroheat & Power's right to initiate legal proceedings before the courts of the participant's registered office in the event any sums are due to DHC+ c/o Euroheat & Power.
